Job Description

Overview of the Position:

The successful Production Assistant is responsible for supporting the Production Team in order for them to coordinate all aspects of product purchasing and delivery including raw material movement, vendor and supplier management, data integrity for reporting and timely communication with factories (domestic and overseas) and adjacent internal departments.

Essential Functions and Responsibilities:

1) Pre-Production - Validation of product elements and details prior to bulk production initiation.

  • Assist in placing photo shoot PO’s in accordance with direction from Production Manager (PM)

  • Assist in placing sales sample PO’s in accordance with direction from Production Associate and/or Production Manager

  • Update and ensure accurate record keeping of Lead Time information by style in FC

  • Revise costs as per SOX compliance (surcharges, etc.)

  • Input data changes into Full Circle based on weekly SMS Work in Process (WIP) reports from vendors

2) Bulk Production

  • Assist in placing/revising bulk production PO’s in accordance with directions from PM

  • Revise costs as per SOX compliance (surcharges, etc.)

  • Review for accuracy and approve bulk production care labels that match product features and characteristics with guidance from PM

  • Review Top of Production Samples (TOPS) for accuracy in raw materials, construction quality and specs; elevate any out of tolerance issues, spec/hangtag issues to the Production Associate/Production Manager. With PA/PM supervision, work closely with Tech Design/PD team to resolve any issues. Communicate all approvals and issues directly with the factory.

  • Save down all TOP approvals in the appropriate location

  • Review and test UPC codes

  • Upload WIP reports into Sharepoint for in-factory QC project and WIP validation as instructed by PM

  • Input data changes into Full Circle based on weekly Work in Process (WIP) reports from vendors

  • Assist PM in communicating production chargebacks due to product not passing QC inspection

3) Raw Material Testing

  • Save down all approved SGS Test reports

  • Inform Material developer/PM of any failed test results and inform vendor

  • Update fabric and trim liability spreadsheet as directed by production managers or production associates

4) Invoicing/Costing

  • Print all vendor invoices and packing lists. Match paperwork and submit for approval

  • Update and maintain all style cost data in Full Circle (seasonally) to the style/color level

5) Systems and Vendor Management

  • Communicate weekly, monthly or seasonal reports to vendors as directed by PM

  • Update system information as necessary as directed by PM in order to ensure accurate data is maintained

  • Assist in updating PO flags (fast track/Pre QC/regular AQL, etc.) into Full Circle

6) Production Operations

  • Assist department in inbound and outbound sample management for use in counter-sourcing or cross-quotes at vendors

  • Assist in UPS/FedEx invoice coding to be submitted to accounting

7) Traceability

  • Assist in Requesting and tracking seasonal traceability documentation form vendors for all organic, recycled, wool and other sustainable fabrications and trims across our product line

Required Experience

Education and Experience Requirements:

  • High school diploma required; Bachelor’s degree preferred

  • 1-2+ years of production/manufacturing experience

  • Problem solving aptitude

  • Working knowledge of such: Microsoft Office Software Suite, especially Word and Excel

  • Experience with an ERP system; Full Circle knowledge a plus

  • Attention to detail and the ability to establish and maintain schedules

  • Ability to demonstrate flexibility on the job and work in a team based structure

  • Demonstrates initiative, is conscientious and provides complete follow-through on areas of responsibility

  • Ability to communicate verbally, written and visually

  • Team-oriented
